What are tags?
On Branded Call, applying tags is a way to organize and analyze groups of phone numbers. Using tags allows you to manage and edit phone numbers in customized groups.
Why use tags?
Applying tags to your phone numbers provides the flexibility to organize your phone numbers in any way that fits your business’s needs. Using tags also makes it possible to generate reports for a group of tagged phone numbers.
What are some ways to use tags
Tags are incredibly flexible and can be used in any way that makes sense for you and your business. And because your team may want to track groups of numbers in multiple ways, any phone number can have more than one tag applied to it. Here are some examples of ways that tags can be used to organize and analyze phone numbers in an account:
-
Business units
- Example tags: Customer Success, Collections, Outreach
-
Geographical areas
- Example tags: Atlanta Metro, Indiana, Southwest US, Brazil North, European Team
-
Campaigns
- Example tags: Loyalty Program, New Signups 2022, Renewals East Coast
-
Time-based reporting
- Example tags: Q1 2022, Spring 2021, August Sales, Holidays 2022
-
Other uses
- Call centers, Salesperson name, pre- or post-branding updates, departments, programs, specific projects, etc.
The basics of tagging numbers
- Any phone number can have multiple tags applied to it, up to 10 tags
- The name of a tag can be up to 30 characters
- There is no limit to the quantity of phone numbers that can share a tag
- There is no limit to the number of tags an account can create
- Tags are case sensitive. “Business Unit ABC” is a different tag than “business unit abc”
- Tags can be edited or deleted at any time without affecting the numbers associated with them
How to create a tag
There are two primary ways to create a tag in the console
- Create a new tag by navigating to the "Tags" page under the Branded Call section
- Add a new tag to one or multiple phone numbers in the list on the phone numbers page
1. Creating a new tag in the "Tags" page
Click the “Tags” in the navigation pane on the left, which can be found under the Branded Call section, and click on the “Create new tag” button. You will be able to enter the tag name and choose its style from 6 tag colors. You can associate phone numbers to the tag (optional). You can associate phone numbers with the tag after you created a tag by editing a tag.
2. Adding a new tag to one or more phone numbers in your phone number list
Click on one or more checkboxes in your list of phone numbers in Branded Call phone numbers. At the top of the list, click on the “Add/Remove tags” button. In the pop-up window that appears, select the “Add new tag” tab and enter a tag name and style. Clicking the “Add new tag” button at the bottom will apply that tag to all selected phone numbers.
Applying or removing an existing tag
In your Branded Call phone numbers list
Click on one or more checkboxes in your list of phone numbers. At the top of the list, click on the “Add/Remove tags” button. In the pop-up window that appears, select the “Update tags” tab to see all available tags as well as which tags are currently applied to the numbers you have selected.
Click on any of the checkboxes to add or remove a tag to all of the selected numbers.
- A checked box [✓] means all selected phone numbers have that tag applied
- An empty box [ ] means none of the selected phone numbers currently have that tag applied
- A box with a horizontal line [-] means that some of the selected phone numbers have that tag applied and some do not
Click on the checkbox of one or multiple phone numbers to apply or remove the corresponding tag(s) for all selected numbers. When you’ve made your changes, click the “Update tags” button to apply them. Or click “Cancel” to close the pop-up and discard your changes.
You can also add/remove phone numbers from the tag detail page. Click on the tag name in the list to go to a tag detail page. Then, click on "Edit tag/numbers", select/deselect phone numbers, and click "Save changes" to finish the work.
On a phone number's detail page
When viewing the details for an individual phone number, clicking on the 3 dots to the right of the phone number and selecting the “Add/remove tags” option will allow you to update the tags that are currently applied to that phone number using the same process as above.
Editing or deleting tags
When viewing the “Tags” page, clicking on the 3 dots at the right side of any tag and selecting “Edit tag/numbers” from the menu will allow you to change the tag name, style, and phone numbers assigned to the tag. The tag name and style change will be applied to all numbers associated with it but will not make any changes to the phone number attributes or other related information.
Likewise, this menu allows you to delete the tag entirely. The tag will be removed from all associated phone numbers but will not otherwise affect the phone number. This cannot be undone but a new identical can be created and reapplied if necessary.
The tag detail page
Once you have applied tags to some of your numbers, you can view analytics for each tag. This combines the measurements for every number associated with that tag into one. The tag detail page can be accessed in multiple ways including:
- Clicking on the tag name or 'Go to tag detail page' in the 3 dots in the “Tags” page
- Clicking on a tag when viewing the phone number list or a phone number detail page
In the tag details page, You can find the summary of top three metrics, and you can review the list of phone numbers associated with that tag.
Filtering your phone number list by tags
On the phone numbers page you can filter the list of phone numbers by which tags are applied to them. In the filter that says “Any tag,” check one or more checkboxes and click the “Apply” button to see which numbers have any of the selected tags.
For analytics for single-tag level, see Analytics for individual tags.
